What is Invoice Plane?
InvoicePlane is a free, self-hosted invoicing application written in PHP using the CodeIgniter framework. It covers quotes, invoices, payments, clients, recurring invoices, basic tax rules, online payment integration through several gateways (PayPal, Stripe, Authorize.net) and a simple client area for invoice viewing.
It is intentionally simpler than Invoice Ninja or Akaunting. The feature set is focused, the admin is approachable for non-technical users, and the install is light enough to run on the most modest shared hosting. Development is community-led and active, with regular releases and security patches.
InvoicePlane suits sole traders, contractors, very small agencies, side-business owners and anyone who wants invoicing software that they can install in a minute, learn in an afternoon, and run for years without monthly fees. It is not trying to compete with Invoice Ninja\'s full feature set, and that simplicity is a deliberate choice rather than a limitation.

InvoicePlane is the simpler cousin of Invoice Ninja, and there's a real audience for that. Not everyone wants a Laravel-powered, Vue-front-ended, multi-gateway, time-tracking, project-managing invoicing platform. Some people want to send a clean invoice, get paid, and be done with it. InvoicePlane is for those people.
I host both, and I'd say roughly two thirds of my freelance clients pick Invoice Ninja for the breadth, and the other third pick InvoicePlane because it feels more approachable. Neither is wrong. They're solving slightly different problems for slightly different temperaments.

What you get with InvoicePlane: clients, products, quotes, invoices, recurring invoices, payments, basic tax handling, a small set of payment gateways, a simple client portal where customers can view their invoices, and email-based delivery. That's the whole thing. There's no time tracking, no project management, no expense management, no team-of-50 admin features. If you need those, Invoice Ninja is the answer.
What InvoicePlane does well is approachability. Set-up takes ten minutes. The admin layout is clean. Creating an invoice is three or four fields. The PDF templates look professional out of the box and you can edit them in the admin without writing code. New users tend to be productive on day one rather than spending a week configuring things.
On hosting, InvoicePlane is genuinely lightweight. PHP 7.4 is the minimum, PHP 8.0+ is fine, and MySQL 5.6 or higher is supported. It runs on our £5.99 shared plan without breaking a sweat. The database is small, the queries are simple, and even sole traders with several years of invoice history barely register on the resource graphs.
One thing to flag honestly. InvoicePlane's development is more leisurely than Invoice Ninja's. Releases come out, but not as often. The user community is smaller. Some advanced things (like detailed VAT handling for complex B2B EU scenarios, or specific UK Making Tax Digital workflows) aren't built in and aren't likely to arrive any time soon. That's fine if your invoicing is straightforward (which for most sole traders it is), but if you need depth, look at Invoice Ninja or move into the Akaunting/Dolibarr space.
Email deliverability matters here as much as it does for any invoicing tool. Configure SMTP through our email or a transactional service, set up SPF, DKIM and DMARC properly, and your invoices will reliably reach inboxes. Skip that step and you'll have client conversations about lost invoices that nobody enjoys. We help with the configuration as standard.
For a sole trader or small contractor sending a few dozen invoices a month, InvoicePlane on our shared hosting is one of the best value combinations I can recommend. If you outgrow it, migrating elsewhere takes manual work. Email deliverability needs proper SMTP, SPF, DKIM and DMARC setup or invoices may land in spam.

A UK independent IT contractor came to us in 2024 looking for the simplest possible self-hosted invoicing tool. He was billing 8-12 clients monthly, mostly on time-and-materials with monthly invoices, and he hated his current spreadsheet workflow. He had looked at Xero (£14/month, too much for his needs), FreshBooks (£15/month, similar), and Invoice Ninja (great but the breadth felt overwhelming for a one-person operation).

What we look for in invoicing systems hosting
Self-hosted invoicing apps are small and well-behaved technically, but they hold real money records and they need to be backed up properly. We back up the database and the document store together, daily, with thirty days of restore points, because finding a missing invoice from three weeks ago is a routine support request. We also run the outbound mail with proper authentication so the invoice itself reaches the customer, and we set the timezone correctly because tax filings are unforgiving.

There is no paid tier and no SaaS upsell, the project is community-funded and community-developed. We host it on our standard plans from £5.99 a month, which covers all the usual hosting features (PHP 8.5, MySQL 8, free SSL, daily backups, one-click install) without anything to do with InvoicePlane itself costing extra.
Invoice Ninja has more features (time tracking, projects, expenses, tasks, more payment gateways, a more polished client portal). InvoicePlane is simpler and more approachable. If you're a sole trader or contractor who wants to send invoices and get paid with the minimum of fuss, InvoicePlane is probably right. If you're running an agency with retainer clients, time-tracked projects and a need for detailed reporting, Invoice Ninja is probably right. We host both and you can try one and migrate to the other if you change your mind.
Yes. InvoicePlane is in our one-click installer, so you choose your domain, set the admin user and the database, and it deploys with everything ready to use. After installation, you spend about 10 minutes configuring your business details, tax rates and any payment gateway you want to use. Most users send their first real invoice the same day they install.
Yes for standard cases. You can configure UK VAT rates (20% standard, 5% reduced, 0% zero-rated) and apply them per invoice or per line item. VAT exemption for individual customers (B2B reverse-charge to EU, exports outside EU) is supported through the tax rate selection. For UK Making Tax Digital filing to HMRC, you would export your VAT report and submit through bridging software, since MTD direct filing isn't built in. For more complex VAT scenarios, you may want to look at Invoice Ninja or pair InvoicePlane with proper accounting software.
This is the single most important practical step. Configure InvoicePlane to send email through SMTP rather than the default PHP mail function. We strongly recommend using either our included email with SPF, DKIM and DMARC properly configured, or a transactional email service like Brevo, Postmark or Mailgun. We help with the email authentication setup as part of standard hosting onboarding. With those in place, deliverability is excellent. Without them, invoices can land in spam folders and you'll have awkward conversations with clients about late payment.
